Guide to Syncing G Suite App with Microsoft Outlook

G Suite and Microsoft Outlook are similar in functionality tools that you can use for better organization of your work and personal life. Whether you want to switch from one software to another or just compare the information — you need to know how to synchronize one with another. Do not worry if you do not know what to begin with and how to do it, our team is here to figure all things out. Let’s start. 

What is G Suite?

G Suite was developed and released by Google in 2006. Firstly, it was known as “Google Apps for Your Domain.” It consists of a number of tools that can lead to better communication and planning, such as Gmail, Hangouts, Google+, and Calendar. Also, it comprises a storage app (Drive) and collaborations tools (Forms, Slides, Sheets, Sites, and Docs), and so on. All services free to use for common users, and if you want to add G Suite enterprise features (company domain), you need to pay some amount of money. It is a widely popular software package. For example, 20 million frequent users and 4 million paying businesses used G Suite in January 2017. 

What is Microsoft Outlook?

In contrast to G Suite, Outlook was developed… not by Microsoft, as a lot of people think. It is a much older service which was first launched in 1996. The product was one of the world’s first webmail services and initially was known as Hotmail. The service was developed by independent Indian entrepreneurs and developers — Sabeer Bhatia and Jack Smith. In 1997, Microsoft bought the product. The latest release was published in 2011. And for now, it is available in 106 different languages. 

As you can see, these two products definitely do not belong to the same umbrella: they are supported by two main competitors. But for users, it is not essential information. They want to take the best features of both services. And with modern technology, it is not hard to do. And now we will now find out how. 

What do you get after the synchronization? 

It is obvious that a synchronization allows users to access the information that is stored on both G Suites services and Microsoft Outlook. The sync is an essential part for:

  • Companies that have decided to switch from Microsoft Outlook services to G Suite or vice versa;
  • People that have an active account on both platforms. 

The synchronization allows you to access the personal information on all devices where you log in. 

What types of data can you synchronize? 

There are different types of data you can sync via G Suite Sync for Microsoft OutlookPerso:

  • Personal notes;
  • Personal and global contacts;
  • Email;
  • The information inside the calendar;
  • Tasks;
  • Journal entries. 

What does the synchronization process look like?

Before we start, there are a couple of things you should keep in mind:

  • Make sure that you have G Suite Account (yes, it is obvious, but some people start the synchronization and think that for this, you do not necessarily have to have a G Suite account);
  • You cannot connect with data on Microsoft Exchange, only in G Suite;
  • GSSMO stands for “A G Suite Sync for Microsoft Outlook). There is a community that allows users to use Microsoft Outlook via PCs; 
  • If you are not a part of this community, you need to upgrade your G Suite account. 

Finally, let’s start our synchronization process. It isn’t hard to do but requires attention to detail. The process consists of a few steps. 

Step 1: Installing G Suite Sync program 

  • Download the latest version of the G Sync for Microsoft Outlook. Here is the link; 
  • Be sure that you have an Internet connection and, after that, run the installation file;
  • After that, the login window pops up. Enter your G Suite email and click the ‘Continue’ button; 
  • After that, the program will ask the permission to manage your private information such as emails, contacts, calendar, and so on (see the ‘What types of data you can synchronize?’ section);
  • Then, create a Microsoft Outlook profile and click the ‘Import data’ button. After importing, your email data will sync automatically; no additional actions are required from you. But the data from contacts, calendar, and other tools will not sync without your permission. For calendar synchronization, you need to find the Calendar link and subscribe to it via Outlook. The contacts sync requires you to have a full G Suite account, or you will need to export and then import the contacts into the Outlook. Step 2: Importing the data

  • If you click the ‘Import data from existing profile’ button, the program will ask you to choose between two options:
  • To allow the direct data import from the profile, tap on the profile name;
  • To allow export from Outlook to Personal Storage file, tap the desired file. 

How can I import Gmail contacts to Outlook? 

As we mentioned above, to import your Gmail contacts, you need to have a G Suit Pro account. If you do not have it, this guide is for you.

Exporting process:

  • Navigate Gmail -> Contacts -> More -> Export;
  • Choose the contact group that you want to export;
  • Select the Outlook CSV file type; 
  • Tap ‘Export’ button;
  • Choose the folder on your computer to export the contacts. 

Importing process:

  • Right-click the file and navigate Open & Export -> Import;
  • Tap the ‘Import from another program or file’ menu item and then click the ‘Next’ button;
  • Choose CSV -> Next;
  • Select just exported file;
  • Select the destination;
  • Tap Finish. 


If you did all the steps correctly, you get full information synchronization.
